Honesty: Fleet PO invoicing requires the fleet account to be set up with a PO number before the RO is created. Not all invoice integrations support PO numbers yet — if you export to Xero or MYOB, check that the PO field maps correctly.
Fleet accounts
A fleet account groups all of a company's vehicles under a single customer record. Service history, outstanding ROs, and billing are visible at the account level — not buried across dozens of individual vehicle records. When the fleet manager calls, you see the full picture immediately.
Billing cycle
Fleet customers often require a PO number on every invoice. Workshop Wrench lets you record the fleet's PO number on the RO at booking time and carry it through to the invoice. Monthly statement runs group all completed jobs under that billing period — one email to the fleet accounts payable team, not 40 separate invoices.
Authorisations
Set a standing pre-authorised spend threshold for the fleet account — for example, any single RO up to $500 is auto-approved. Jobs within threshold proceed without waiting for individual approval. Jobs above threshold trigger the normal estimate approval flow. Standing auths are recorded on the account and show on every RO for audit purposes.
Fleet contact management
Fleet accounts have multiple contacts: the driver, the fleet manager, and the accounts payable contact. Workshop Wrench stores all three and routes communications to the right person — booking confirmations to the driver, estimate approvals to the fleet manager, invoices to accounts payable. No more sending an invoice to the person who just drives the ute.
